1. Introduction

These Terms and Conditions ("Terms") govern the use of services provided by Swastik Tours And Travels ("Company", "we", "us"), registered under GSTIN 23ACOPL9841J2Z3 and operating from Shop No 102, Swastik Complex, Near Jabalpur Hospital, Napier Town, Jabalpur (M.P.) 482001. By booking any service with us, you ("Customer", "you") agree to be bound by these Terms.

2. Booking Policy

All bookings are subject to availability. A booking is confirmed only after receipt of the required advance payment and written confirmation from our team. Tentative bookings without payment are subject to automatic cancellation within 48 hours. We recommend booking at least 15 days in advance for domestic travel and 30 days for international travel to ensure the best availability and pricing. Peak season bookings (Diwali, Christmas, Summer vacations) should be made even earlier. All booking details including traveler names, ages, and ID proof must be accurate and match the government-issued identification documents. Any discrepancy may result in denial of service by hotels, airlines, or authorities.

3. Payment Terms

A minimum advance of 30% of the total package cost is required to confirm a booking. The remaining balance must be paid at least 7 days before the date of departure for domestic tours and 15 days before for international tours. We accept the following payment methods: Cash, UPI (Google Pay, PhonePe, Paytm), Bank Transfer (NEFT/RTGS/IMPS), Credit/Debit Cards, and Cheques. For corporate bookings, invoice-based payments with agreed credit terms are available. All prices quoted are per person on twin/double sharing basis unless otherwise mentioned. Single occupancy surcharges apply where applicable. Prices are subject to change based on availability and seasonal fluctuations until the booking is confirmed with payment.

4. Cancellation & Refund Policy

Cancellation requests must be submitted in writing (email or letter). The following cancellation charges apply based on the number of days before the scheduled departure date: • 30 or more days before departure: 10% of total package cost • 15 to 29 days before departure: 25% of total package cost • 7 to 14 days before departure: 50% of total package cost • Less than 7 days before departure: No refund Airline tickets, train tickets, and hotel bookings may have their own cancellation policies which apply in addition to the above. Non-refundable components (if any) will be communicated at the time of booking. Refunds will be processed within 15-30 business days from the date of cancellation approval. Refunds are credited to the original payment method. No interest is payable on refund amounts.

5. Amendments & Changes

Any changes to the confirmed itinerary (dates, hotels, destinations, number of travelers) are subject to availability and may incur additional charges. Change requests must be made at least 10 days before the departure date. Name changes on airline tickets are not permitted by most airlines. In such cases, the ticket must be cancelled and re-booked, subject to the airline's cancellation policy and fare difference. We reserve the right to alter the itinerary due to unforeseen circumstances such as natural disasters, political unrest, road closures, or any force majeure events. In such cases, suitable alternatives will be provided at no extra cost wherever possible.

6. Travel Documents & Identification

All travelers must carry valid government-issued photo identification (Aadhaar Card, Passport, Voter ID, or Driving License) during the trip. For international travel, a valid passport with at least 6 months validity and required visas are mandatory. It is the responsibility of the traveler to ensure all required travel documents, visas, permits, and vaccinations are in order. Swastik Tours And Travels will assist in visa processing but does not guarantee visa approval. For destinations requiring special permits (e.g., Ladakh, Andaman, Northeast India), we will arrange the necessary permits. However, travelers must provide accurate information and documents in a timely manner.

7. Liability & Responsibility

Swastik Tours And Travels acts as an intermediary between the traveler and service providers (hotels, airlines, transport operators, etc.). While we exercise due diligence in selecting our partners, we are not liable for: • Delays, cancellations, or changes in schedules by airlines, railways, or other transport operators • Quality of service provided by third-party hotels, restaurants, or activity operators • Loss, theft, or damage to personal belongings during the trip • Personal injury, illness, or death during the course of travel • Natural disasters, political unrest, or any force majeure events We strongly recommend all travelers obtain comprehensive travel insurance to cover medical emergencies, trip cancellations, lost luggage, and other unforeseen circumstances.

8. Traveler Conduct

Travelers are expected to behave responsibly and respectfully during the trip. Any behavior that is deemed harmful, dangerous, or disruptive to other travelers or the trip schedule may result in immediate termination of services without refund. Consumption of alcohol and drugs is strictly prohibited during group tours and activities. Travelers must adhere to local laws and customs at all destinations. Any illegal activity will result in immediate removal from the tour.

9. Dispute Resolution

Any disputes arising from these Terms or our services shall be resolved amicably through direct negotiation. If a resolution cannot be reached, the dispute shall be subject to the exclusive jurisdiction of the courts in Jabalpur, Madhya Pradesh, India. All complaints must be raised within 7 days of the completion of the tour. Complaints raised after this period may not be entertained. We aim to resolve all complaints within 30 business days.
